This policy covers our website (privatediscoverytours.co.nz), our booking system, and our direct dealings with you by phone, email and in person.

What we collect

  • Booking details, through our online booking system, when you book a tour: your name, contact details, tour selection, group size and party details (including the age of children, where relevant), and payment reference information.
  • Website enquiry and contact form details: name, email, phone number, tour interest, group size, fitness level, and rough budget, where you choose to share these with us.
  • Website analytics, through Google Analytics, covering how visitors use our website. This is largely anonymised and aggregated, and is not used to identify you personally.
  • Waiver form details, signed before your tour: your name, signature, and any health or fitness information relevant to your safe participation.
  • Email and other correspondence you send us, including any attachments or information you choose to include.
  • Payment information, processed through a third-party payment provider. We do not collect or store your full card details ourselves.

We do not knowingly collect more information than we need for the purpose it is collected for.

Why we collect it

We collect personal information to:

  • take and manage your booking, and confirm the details with you
  • run your tour safely, including using waiver and fitness information to plan appropriately for your group
  • process payment
  • respond to your enquiries
  • meet our legal, safety, accounting and insurance obligations
  • understand how our website is used, so we can improve it
  • with your consent, send you information about PDT you have asked for

We collect information under the Privacy Act 2020, which requires that we only collect what we need, that we tell you why we are collecting it, and that we use it only for the purpose it was collected for (or a directly related purpose) unless you agree otherwise or the law requires or allows it.

Who we share it with

We share personal information only where it is necessary to deliver your tour or run our business:

  • Our booking system provider, to process and manage your booking.
  • Our payment provider, to process payment. We do not store your card details.
  • Third-party activity operators, such as jet boat and cruise partners, where your tour includes an activity they deliver, and only the details they need to include you safely (for example your name and group size).
  • Google, through Google Analytics, in an aggregated and largely anonymised form, to understand website usage.
  • Government agencies or authorities, where we are required to by law, or in a genuine emergency affecting your safety.

We do not sell your personal information, and we do not share it with anyone else for their own marketing purposes.

How long we keep it

We keep booking, waiver and correspondence records for as long as we need them for the purpose they were collected, and to meet our legal, accounting, tax and insurance obligations (which in New Zealand can require records to be kept for several years). After that, we securely delete or de-identify the information. Website analytics data is retained according to Google Analytics’ own retention settings.

Cookies and website analytics

Our website uses Google Analytics 4 to understand how visitors use it: which pages are viewed, how people arrive at the site, and general location and device information. This uses cookies. You can control or block cookies through your browser settings, though this may affect how parts of the website work. Analytics data does not identify you personally in the ordinary course of use.

Keeping your information safe

We take reasonable steps to keep your personal information secure, including using reputable third-party providers for booking and payment processing who maintain their own security standards, and limiting access to your information to what our team needs to do their job.

  • ask us what personal information we hold about you, and to see it
  • ask us to correct it, if it is wrong or out of date
  • ask us why we are holding or using it, in a given case

To make a request, email info@privatediscoverytours.co.nz. We will usually respond within 20 working days, as required by the Act. There is normally no charge for a straightforward request.

We highly recommend Lucy! She was such a friendly driver and shared so much amazing local culture and highlights along the way. She took us to the private farm to see cattle and sheep, and walked us through how sheep shearing works in real life. The hiking route she picked was perfect — not too hard, not too easy. She also taught us loads about the native bush and trees. It was such an unforgettable experience with her!

The bespoke hike Sarah and her team put together for us was great. Combining 4 separate walks we saw lakes mountains and much more. Thank you! Lucy and Lee were fantastic on the hike and shared their local history and botanical knowledge with us. Could not have asked for a better day for a team bonding hike. Thank you.

We had Lucy Snelgrove as our tour guide for a private hike on the route burn trail and she was amazing 🙂 we came from the US and didn’t have rain jackets. Knowing it would be rainy, she had extra jackets and ponchos for us, made our hike sooo much more enjoyable! She kept a great pace and was very knowledgeable about the trail, plants and birds we saw along the way. Would very highly recommend!! We had some extra time and instead of bringing us back to our hotel right away, she went out of the way to bring us to some more view points to check out the beautiful scenery.

My husband and I took a tour through a section of the Routeburn track and we had a great time! Lucy provided us with so many interesting facts about the area and was a great guide! We thoroughly enjoyed our walk through the track and would definitely recommend!

My wife and I spent a fantastic day in Paradise Valley, guided by Charles. A journey through fairytale locations. Now we understand why The Lord of the Rings was filmed here. We come from a big city. Unspoiled places like those we saw today, where the sound of silence and the absence of people reign supreme, are a unique opportunity. Charles showed us places that are technically impossible to reach on our own. Breathtaking views, views of the lake, mountains with snow-capped peaks, forests, valleys... it's almost impossible to describe the details. Even the photographs don't do the reality justice. Congratulations to Charles, thank you very much.

My wife and I had a full day Milford Sound tour with Charles. We could not have scripted a more perfect day of travel. Of course, the trip to Milford Sound was fantastic. The journey itself was great—we stopped at a ton of viewing points, one more beautiful than the next. And I really don’t have words to describe how impossibly beautiful Milford Sound itself is. But it was Charles who truly tied this day together and made it so memorable. Charles is everything you’d want in a travel guide—knowledgeable, interesting, and an amazing conversationalist. He also is just the consummate professional: the day was perfectly timed so that we were constantly doing things without ever feeling rushed. My wife and I have had an amazing time in Queenstown. Seriously, if we had any more time here, what we would do would be an absolute no-brainer: book another tour with Charles. In sum, I can’t recommend Charles more highly. A class act.

Charles Fraser was the ultimate professional guide. He was totally knowledgeable & informative on all aspects of New Zealand. He knew so much about the country, its culture, its people, and the history. We spent two days with him & had a most memorable time hiking & exploring Milford Sound & the countryside of New Zealand. He is remarkably upbeat & happy and you feel like you’ve known him forever. He made a most favorable impression on us, and made the day’s exciting. We will never forget his graciousness. We highly suggest hiring him and his company to experience the very best of New Zealand.
